LO1 - Business Functional Areas

PURCHASING

The roles: to procure all necessary materials needed for production or daily operation of the company or government organization.

Responsibilities:
  • determine when to order
  • control inventory level
  • arrange for storage
  • oversee deliveries
Example: purchase of stationery like pen, pencil, paper, book

HUMAN RESOURCE

The roles - to manage, create, implement and supervise policies/regulations, which are mandatory for every employee and also have knowledge of its appropriate functioning

Responsibilities:
  • employee training and and performance evaluation
  • planning for staffing needs
  • employee recruitment and selection
Example: to get more information about employee benefits.

Characteristic of Good Information

1. Valid - the information is correct

2. Reliable - information that can rely on as being correct

3. Timely - information from the correct time

4. Fit for purposes - relevant to what you need for

5. Relevant - directly related to yout business need

6. Accessible - stored in a way that it can be easily accessed at any time

7. Cost Effective - worth investing the time and money to get to help make business decisions

8. Sufficiently accurate - helps business make the correct decision

9. Having the right level of detail - having the correct information details

10. From a source in which the user has confidence - reliable and can be trusted

11. Understandable by the user - need to be understood by the end user

LO1 - Sources of Information

Internal Information vs External Information

Internal Information

Information which is only available to the business. This information will be private and accurate. Internal information may take the form of sales figures, personnel records, customer records, and financial documents such as trading, profit and loss accounts and the balance sheet.

External Information

This is information which comes from outside the business. This is gathered via mainly secondary information methods such as newspapers and magazines, the internet etc.

LO1 - Information System

Information Systems

A computer system or set of components for collecting, creating, storing, processing, and distributing information, typically including hardware and software, system users, and the data itself

Types of information systems and example:

Qualitative

Qualitative information is non numeric information based on the quality of an item or object.

Example: if you were testing water then you might say that the taste is either nice or not so nice.

Quantitative

Quantitative information is information than can be directly measured and can be seen as factual information rather than opinion

Example: when testing water the fluoride content of the water might be measured in milligrams

Primary

Primary information is information that you collect yourself.

Example: carrying out a survey or using sales figures from your own cash registers.

Secondary

Secondary information is information that is collected from a secondary source outside of your own organisation.

Example: if you were using a web forum to select information from then there is a risk that the information is not reliable and accurate as information that you collected yourself.
